Terms and Conditions
1. Who these terms apply to
These terms apply to all parents/guardians, gymnasts, and visitors who register, attend classes, or enter our facility. By registering or participating, you agree to follow these terms, our safety instructions, and staff directions.
If anything is unclear, please email us. We would rather help early than fix a problem later.
2. Registration and eligibility
Registration is completed online. You must provide accurate parent/guardian details, medical information, and emergency contacts. If details change during the year, please update us as soon as possible.
- Each child must be registered under the correct parent/guardian account.
- Some classes may be invite-only or capacity-limited.
- We may decline or adjust enrolments if a class is full or not suitable for a child’s needs at that time.
3. Fees, invoices, and payments
Class selection is part of registration. Invoicing is issued after registrations are complete. Payment terms are 14 days from the invoice date unless otherwise stated on the invoice.
- We use digital invoicing and payments - no cash payments are accepted at the gym.
- Fees may include program fees and any required governing-body registration/insurance fees (if applicable).
- If an account falls overdue, class access may be paused until payments are up to date.
4. Cancellations, missed classes, and refunds
We understand that families get sick, injured, or have unavoidable conflicts. In general, missed classes are not refundable because coaches and facilities are booked ahead. Where possible, we try to help with options that are fair to everyone.
- Change-of-mind refunds are generally not available.
- If we cancel a class, we will provide a make-up option or a credit where appropriate.
- If a child is injured or unwell, contact us as soon as practical so we can discuss the best option.
5. Safety and supervision
Gymnastics involves movement, apparatus, and physical risk. Our coaches provide structured instruction and supervision within class. Families must follow safety signage, venue rules, and staff instructions at all times.
- Children must be dropped off and picked up safely and on time.
- After class finishes, staff may not be available to supervise children outside class time.
- Only enrolled participants are permitted to take part in a class.
6. Medical information and injury management
Parents/guardians must disclose relevant medical conditions and any support needs during registration. If a child has asthma, anaphylaxis, or other conditions requiring an action plan, provide it to us before participation.
- If your child is injured, tell the coach before class.
- If a modified program is required, we may request a medical clearance or guidance from a clinician.
- Please do not bring a child to class if they are unwell and contagious.
7. Behaviour, respect, and a child-safe environment
We expect respectful behaviour from children and adults. Bullying, harassment, discrimination, and aggressive conduct are not acceptable. If behaviour creates a safety risk or disrupts the program, we may suspend or cancel participation.
- Children should treat coaches and other gymnasts with respect.
- Parents/guardians must treat staff and other families with courtesy.
- We take child safety seriously and respond to concerns promptly.
8. Photography and digital media
We understand families want to celebrate progress. For privacy and child safety, photography and filming may be restricted in some areas or sessions. Where media consent is collected, it applies to club communications only and not to other families filming inside the venue.
- Please do not photograph or film other children without their parent/guardian’s permission.
- Follow staff directions if filming is not appropriate during a session.
9. Privacy and communications
We collect personal information to manage enrolments, safety, and communication. We store information securely and only use it for club operations, invoicing, and safety needs.
- Keep your contact details current so you receive updates.
- If you request access or correction of your information, email us.
10. Complaints and concerns
If something feels wrong, please tell us. Start by emailing the club so we can resolve it quickly and respectfully. If the matter relates to safety, child protection, or serious misconduct, we will follow the appropriate reporting pathway.
11. Changes to these terms
These terms may be updated to reflect safety requirements, program changes, or governing-body guidance. Updates will be posted on this page and apply from the date shown at the top.
